Permits Flow Procedures - File Documentation
The Grouping–File Documentation is the archiving activity. The
arrows coming from the left side match up with the previous Groupings.
A request, permit, or unknown documents may be closed at any point in the permitting
process. A request may not make it to through the complete process. It may be stopped
by ADOT, permittee, time limit, or another legitimate reason. However, archiving
closed materials is essential for legal purposes. The length of archival duration is
a matter needing careful evaluation. Closing procedures includes logging final
date, updating as-builts, preparing copies, updating data bases, etc … as defined
by local site practice or state standards. Final document distribution varies by
District. Copies go to local and state files. Record and As-Builts are
maintained per District policies and procedures.
